BEFORE THE EVENT

What documentation should I provide you with before the event?

In order to fully meet the needs of your audience and provide them with the best possible experience at the event, we like to ensure the delegates receive a full set of biographies and presentations. As an important part of the delegate attendance fee we provide a hard copy event pack containing all speaker biographies and  a URL and password for accessing a PDF version of all speaker presentations from our website. We fully understand that on the day you may be presenting information which is confidential and that you may not want to share. If this is the case we would be happy for you to provide us with two versions of the presentation – one that you will be using on the day and the second for the website

What format do you require for my presentation?

Please email us a powerpoint presentation and we will convert it into a PDF before uploading this onto our website. At our events we generally provide a standard conference kit which includes LCD projector, screen, 35mm projector and sound.  If you are using anything unusual or have sound bites or videos embedded in your PowerPoint presentation you must let us know well in advance of the conference.
You must always bring a copy of your presentation with you on a disc or memory stick

How should I send my presentation?

We are able to receive presentations by email, post or courier. Please note that our email system is unable to accept emails larger than 10MB.

When should I send the presentation?

Speaker presentations must be received in advance of the event, normally two weeks before the conference. If you foresee any problems with this, please let us know as soon as possible.

Can I attend the whole conference?

Yes, speakers can attend the entire conference free of charge.

My colleagues wish to attend, will they receive a discount?

Up to 5 of your direct colleagues are entitled to attend the event at a discounted rate. For further information or to register, please call our customer services team on +44 (0) 20 7970 4770. Please note that unless otherwise agreed with the producer in advance of the event, colleagues will not be allowed to attend free of charge.

AT THE EVENT

When should I arrive?

If you are unable to attend the full conference day, please ensure you arrive well in advance of your presentation in order for us to carry out full audio checks. There will be an opportunity for you to run through your presentation with our AV technician (in the break directly prior to your presentation). If you are speaking first thing in the morning please come and see the technician during the registration period.

What happens when I get to the conference?

When you arrive at the conference please go to the reception desk and inform the members of staff that you are a speaker/panellist.

How can I get to the venue?
 
Our speaker liaison team will contact you prior to the event with full venue details and instructions on how to get there. Alternatively, please visit our website for the latest venue information.

What about accommodation?

Should you require accommodation throughout the duration of the conference, we have organised a number of reduced rates at nearby hotels.  Please visit www.cityhotelaccommodation.com for details.

What is the dress code?

The dress code for delegates and speakers is business casual. Speakers usually present in business attire

Are there refreshments throughout the day?

There will be several refreshment breaks and lunch. Please see the conference agenda for timings and let us know if you are intending to stay for lunch.

AFTER THE EVENT

Will I receive feedback?

Our speaker liaison team will send you the results of the delegate evaluation forms including specific comments about your presentations and an overall score rating.
